Frame Your Meetings with Friendly Technology
Advice from Alfonso Ramírez-Corzo N., Director of Accounts, Boyldone, Madrid

Using technological support as a base for your events brings you an infinite variety of possibilities to make your event unique, according to Alfonso Ramirez-Corzo, director of accounts for Boyldone, a technology provider to the MICE industry. He advises a total package that carries through every stage of event planning and execution.

Here is a basic outline from Alfonso of when and how to use creative technology to enhance your event. Following the outline are links to actual examples of the technology.

Before the Event

  • Web page. The creation of a web page as an informational tool is an important first step and instills a sense of expectation in the client. Before clients even attend the event they can live the experience from home, Alfonso explains.
  • Creative e-vite. An impacting, captivating e-vite is a great way to encourage clients to attend the event and to visit the web page, he advises. You can capture the attention or your target audience with movement, music, and great photography.
  • Registration system. The creation of an online registration system allows the event planner to better understand the audience and its preferences. It also provides a most efficient way of capturing all the information needed.

During the Event

  • Presentations. The new tools for presentations are much more dynamic and interactive than the tools of the past, Alfonso says. Flash, digital video, lighting, a proper sound system, plasma screens, video-conferences, touch-screens, actors and games for mobile phones are all tools that can be used to create an impacting presentation. The best thing about this technology is that it is scaleable, that is, it is possible to create a high-quality piece on a modest budget for smaller events or to use a combination of technologies for events of any size. However, the most important factor in the success of an event is by far its prior planning, he cautions.
  • Interactivity. Visitors can learn more about organizations at their leisure, using touch-screens in various key locations at the meeting or conference venue.

After the Event

  • Web site photo album. “After the event has finished, we create a web page that contains photos from the event,” Alfonso reports. “People love to see the fun times they had, and in this way your customers will be interested in returning for future events,” he advises.

Real-Life Creative Tech Examples

And finally, Alfonso says, “ It is only through the collaborative work between the DMC and the technological team that unforgettable creative and successful pieces can be achieved. In this sense, the success of any event depends on teamwork.”
